At Reach for the Stars Coaching, the wellbeing, safety, and dignity of children and families are always our priority. The policies below explain how coaching is delivered, how safeguarding and confidentiality are handled, and what parents and carers can expect.

Safeguarding & Child Protection Policy (Summary)

Reach for the Stars Coaching is committed to safeguarding and promoting the welfare of all children and young people. The wellbeing and safety of every child is always the highest priority.

This service works with children and young people under the age of 18 and takes a child-centred, inclusive approach that values listening, respect, and emotional safety. All children are treated with dignity, regardless of age, ability, neurodivergence, gender, culture, or background.

Coaching sessions provide supportive, forward-focused emotional wellbeing support. Coaching is not counselling or therapy and does not involve diagnosis or treatment of mental health conditions. Reach for the Stars Coaching does not investigate safeguarding concerns but follows appropriate safeguarding procedures when concerns arise.

Information shared during coaching is treated as confidential. However, confidentiality cannot be maintained if there is a concern that a child or another person may be at risk of harm. In these circumstances, information will be shared with appropriate services in line with safeguarding guidance and legal requirements.

If a safeguarding concern is identified, Reach for the Stars Coaching will take appropriate action to protect the child, which may include seeking advice or making a referral to local safeguarding services. Parents and carers will be informed unless doing so would place the child at increased risk.

In an emergency or if a child is at immediate risk of harm, emergency services will be contacted.

Parents Responsibility Policy

Reach for the stars Coaching Parental Responsibility Policy Tracey Harvey - Reach for the Stars Coaching Rationale To ensure that Tracey Harvey of Reach for the Stars Coaching complies with its duty and responsibility to children and their parents. Purpose Tracey Harvey of Reach for the Stars Coaching is required to communicate with the parents of children under the age of 18. However, it is imperative that we are certain of who the adults with parental responsibility are. In cases where there are disputes between several adults who claim to have parental responsibility, we must ensure clarity and work with the parents and third parties to resolve any conflicts while always acting in the best interest of the child. Definition of Parental Responsibility Parental responsibility refers to the rights, duties, powers, and responsibilities that most parents have in respect of their children. The Adoption and Children Act 2003 revised parental responsibility laws. In practical terms, parental responsibility means the ability to make important decisions regarding the child, including: • Determining the child’s education and school. • Choosing, registering, or changing the child’s name. • Appointing a child’s guardian in the event of a parent’s death. • Consenting to medical treatment or surgeries. • Accessing a child’s medical records. • Consenting to international travel for holidays or extended stays. • Representing the child in legal proceedings. • Determining the child’s religion, considering any cultural or religious backgrounds. Parental responsibility does not automatically grant the right to contact with the child, which remains the child’s right, or the right to know the whereabouts of the child unless it’s in the child’s best interest. Who Possesses Parental Responsibility? • Mothers automatically acquire parental responsibility. • Fathers acquire parental responsibility if married to the mother at the time of the child’s birth, or if their name appears on the child’s birth certificate (depending on the jurisdiction). • Step-parents, adoptive parents, and guardians appointed by the court may also acquire parental responsibility. Authorisation of Coaching Sessions Before offering coaching sessions, Tracey Harvey of Reach for the Stars Coaching will request the full name, date of birth of the child, and the contact details of at least one parent with parental responsibility. We will not offer coaching sessions to a child under 18 without the consent of at least one parent with parental responsibility. In Cases of Parental Disputes: • In cases where there is a parental dispute, we will aim to seek consent from both parents if in the best interest of the child and the coaching process. • If a dispute involves court orders, advice will be sought to ensure compliance with the legal situation. • If only one parent is in contact with Reach for the Stars Coaching, we will assess whether obtaining consent from the other parent would harm the child. Safeguarding If a parent’s actions are deemed not to be in the best interest of the child, this can be challenged. We will always prioritize the child’s welfare, seeking advice and external support where necessary. • If we learn of a court order prohibiting contact with one parent or unsupervised access, we will act accordingly, ensuring the child’s best interest is prioritised. • If a child discloses concerns regarding emotional or physical well-being, the relevant authorities will be informed. In such cases, we will not share session information with any other parent unless authorised by the child or advised by authorities. Policy Review This policy will be reviewed periodically to ensure it reflects current laws and best practices.

Privacy and Data Protection Policy

Reach for the Stars Coaching – Data Protection Policy Policy Owner: Tracey Harvey Effective Date: May 2025 Review Date: April 2026 Introduction Reach for the Stars Coaching is a private coaching service providing one-to-one mental health and wellbeing coaching programmes for children and families. This Data Protection Policy outlines how we collect, store, use, and protect personal information, particularly data concerning children and their families, in compliance with the Data Protection Act 2018 and UK GDPR. Your Data Rights Under the UK General Data Protection Regulation (UK GDPR), individuals have the right to access personal data held about them. This is known as a Subject Access Request (SAR). Exemptions to Data Access Reach for the Stars Coaching may refuse a subject access request in certain circumstances, such as: •Where disclosure would jeopardise the prevention or detection of crime or the apprehension or prosecution of offenders. •If disclosure would put a child’s welfare at risk. •If the data is protected by legal professional privilege. If any data is withheld, we will explain the reason and the relevant legal exemption, unless doing so would itself compromise protected information. Protecting Third-Party Data When responding to a request, we may redact information relating to others unless we have their explicit consent to share their data. This is to protect the privacy of all individuals involved. Parental Consent & Third Parties •We will not release or share coaching session details without the explicit consent of an adult with parental responsibility. •If there is uncertainty around parental responsibility, we may request consent from both parents. •Where a parent or guardian requests, we share information with a third party (e.g., a school, solicitor, social services), we will assess each request on a case-by-case basis in line with legal and safeguarding obligations. Exceptions for Disclosure Without Consent We may share data without consent if: •There is an immediate risk to the health or safety of a client or another person. •We become aware of a safeguarding concern. •We are required to comply with a legal obligation (e.g., court order). Storage of Child Data We retain child data until 5 years after the child turns 18, unless otherwise agreed in writing and supported by legal advice. Making a Subject Access Request Requests must be made in writing. Please include as much detail as possible to help us locate the relevant data. Once a request is received, we will: •Acknowledge your request in writing. •Respond within one month. •Ask for further identification or clarification if needed. Information will be sent via signed-for postal delivery only and will not be sent by email. Child Coaching Agreement

A Child Coaching Agreement outlining session expectations, confidentiality, safeguarding, and practical arrangements is shared and agreed before coaching begins.
